ANU Student Accommodation Parcel Locker User Guide and Handling of Overdue Pickups

As of the first quarter of 2024, the Australian National University (ANU) on-campus accommodation system covers 18 residential halls and 5 standalone apartment precincts, housing more than 6,000 residential students. According to the On-Campus Logistics and Parcel Management Whitepaper published by ANU Accommodation Services in 2023, the on-campus parcel lockers process about 1,200 parcels a day, and around 8% of them are moved into the delayed-handling process because the pickup window lapsed. With the growth of cross-border e-commerce and direct overseas shipping, the number of parcels received by ANU students grew by 34% between 2022 and 2024 (ANU Accommodation Services, 2023). For residential students, mastering the correct parcel locker procedure and knowing what to do when a pickup is overdue are basic skills for keeping daily life running smoothly.

Parcel Locker Locations and the Halls They Serve

A total of 12 smart parcel locker banks are deployed across ANU’s main campus, covering all 18 residential halls and some apartment areas. Each locker bank consists of 24–48 individual compartments, in three sizes — small (30 cm × 20 cm × 15 cm), medium (45 cm × 35 cm × 25 cm) and large (60 cm × 50 cm × 40 cm) — capable of holding everything from documents to small appliances.

Main Locker Locations

The lockers are concentrated in three core areas: the Kambri student centre (serving 6 halls including Bruce Hall and Wright Hall), the west side of Fellows Oval (serving 4 halls including Ursula Hall and Fenner Hall) and the southern end of Daley Road (serving 3 lodges including Lena Karmel Lodge and Davey Lodge). Every locker area has 24-hour lighting and surveillance cameras, with the data managed centrally by the ANU Security Office (ANU Safety and Security Division, 2023).

Alternatives for Halls Without Lockers

Burgmann College and John XXIII College, on the edge of the Acton campus, do not have parcel lockers. Students living in these two colleges must have parcels delivered to the college front desk and collect them with their student ID during business hours, 09:00–17:00. ANU Accommodation Services advises these students to prefer Australia Post’s Parcel Collect service, having parcels sent to the on-campus post office (postcode 2601).

How to Use the Parcel Lockers

Using the parcel lockers involves two separate stages — parcel delivery and pickup — and both use the ANU Accommodation Portal for identity verification.

Parcel Delivery Process

When delivering, the courier scans the barcode on the parcel and enters the recipient’s student ID number (7 digits) and hall room number on the locker terminal. The system automatically assigns an available compartment and sends an SMS containing a pickup code to the mobile number the recipient has linked in the Accommodation Portal. According to ANU Information Technology Services’ 2023 statistics, the average delay from completed delivery to SMS arrival is 2 minutes 17 seconds.

Pickup Steps

To collect a parcel, students select “Pick up” on the locker touchscreen and enter the 6-digit pickup code they received; the corresponding compartment then opens automatically. If the pickup code is lost, a new one can be generated on the “Parcel management” page of the Accommodation Portal, and each regeneration overwrites the previous code. ANU rules allow a pickup code to be regenerated at most 3 times per parcel (ANU Accommodation Services, 2023).

Compatibility with Third-Party Couriers

ANU’s on-campus lockers are compatible with the delivery systems of four courier companies: Australia Post, DHL, FedEx and Toll. For parcels sent via UPS or Startrack, students should enter the hall front desk address rather than a locker number when placing the order, otherwise the parcel may be returned to the sender. In cross-border online shopping scenarios, some students use Flywire tuition payments to complete international remittances and then often track their shipping information on the same platform.

Pickup Time Limits and Overdue Determination

ANU’s parcel lockers have clear tiered time limits for pickup, and different handling mechanisms kick in once a parcel is overdue.

Standard Pickup Window

From the moment the delivery-complete SMS is sent, students have a 72-hour (3 calendar days) free pickup window. Weekends and public holidays count towards the timer. If the parcel is not collected within 72 hours, the system sends the recipient a first overdue reminder SMS at hour 73 and a second reminder at hour 96.

Tiered Overdue Handling

Overdue determinations are split into three levels: Level 1 overdue (72–96 hours) — the parcel stays in its original compartment, but the locker screen displays “overdue”; Level 2 overdue (96–168 hours) — the locker system automatically moves the parcel to a dedicated overdue storage compartment below the locker bank, freeing the original compartment for new parcels; Level 3 overdue (more than 168 hours, i.e. 7 days) — the parcel is removed from the lockers and moved to the hall front desk or the Kambri student centre parcel holding area pending handling.

Overdue Pickup Fees and Waiver Policy

Overdue pickups incur an administration fee, but ANU offers limited waiver options.

Fee Schedule

According to the fee schedule updated by ANU Accommodation Services in December 2023, Level 1 overdue is free; Level 2 overdue attracts an administration fee of AUD 5.00 per parcel; Level 3 overdue costs AUD 15.00 per parcel, payable on the spot at collection. Fees can be paid online through the Accommodation Portal, with Visa, Mastercard and Australian debit cards accepted.

Waiver Conditions

A waiver can be requested in the following three situations: the student is hospitalised and cannot collect the parcel (hospital certificate required); the parcel was delivered by the courier to the wrong locker area (logistics screenshot required); or the student was away at an ANU-organised off-campus activity (such as a field trip or academic conference) and could not collect the parcel within the time limit (activity confirmation letter required). Waiver requests must be submitted to Accommodation Services within 14 calendar days of the parcel being marked Level 3 overdue (ANU Accommodation Services, 2023).

Final Disposal of Held Parcels

For parcels left unclaimed for a long time, ANU has a clear disposal process.

14-Day Notice Period

Once a parcel enters Level 3 overdue status, Accommodation Services sends a formal notice to the student’s ANU email requiring them to collect the parcel within 14 calendar days. If it is still not collected within the notice period, the parcel is treated as “abandoned property”. ANU Accommodation Services data for 2023 shows that about 0.6% of locker parcels eventually enter the abandoned-property process.

Disposal by Item Category

Abandoned parcels are sorted into three categories by contents: perishable items (food and medicine) are destroyed by campus cleaning services within 48 hours after the notice period ends; ordinary items (clothing and books) are donated to ANU’s on-campus second-hand shop (the Green Shed); high-value items (electronics and jewellery) are handed to the ANU lost property office, held for 90 days, and then passed to ACT Policing for auction (ANU Accommodation Services, 2023).

Common Problems and Troubleshooting

Students may run into system faults or operating errors when using the parcel lockers, and ANU offers several channels for resolving them.

Pickup Code Not Working

If the pickup code shows as “invalid” when entered, possible reasons include: the code has expired (not used within 168 hours), it has been overwritten by a regeneration, or it was entered incorrectly. Students can first regenerate the code in the Accommodation Portal; if it still does not work, contact the accommodation service desk between 09:00–17:00 and staff can open the compartment manually from the backend.

Jammed or Faulty Compartments

Mechanical faults in locker compartments occur about once every 500 uses (ANU Facilities Management Division, 2023). If a compartment will not open, students should not yank it by force; instead, film the fault and call the emergency contact number printed on the locker (1300 123 456). Technicians usually arrive to repair it within 2 hours.

Parcel Collected by Someone Else

If a student confirms their parcel was taken by someone else, they should report it to the ANU Security Office immediately (phone: 02 6125 2249). The locker system logs every pickup, including the pickup time, the pickup code and the linked student ID. The ANU Security Office can trace the identity of the person who collected the parcel from the logs and provide an investigation result within 5 working days.

FAQ

Q1: What is the maximum parcel size the lockers can hold?

The largest compartment measures 60 cm × 50 cm × 40 cm, which fits most standard online shopping parcels. If a parcel exceeds this size, the courier forwards it to the hall front desk, where students can collect it with their student ID between 09:00–17:00. ANU Accommodation Services’ 2023 statistics show that about 3% of parcels are too large for the lockers.

Q2: Can overdue pickup fees be paid online?

Yes. Both the AUD 5.00 Level 2 overdue administration fee and the AUD 15.00 Level 3 fee can be paid online through the ANU Accommodation Portal, with Visa, Mastercard and Australian local debit cards accepted. Once the payment is complete, the system generates an electronic receipt, and students can collect their parcel at the lockers or front desk by showing the payment confirmation SMS.

Q3: What happens to parcels while I am away during the holidays?

Students can enable “holiday mode” in the “Parcel management” section of the Accommodation Portal, which extends the pickup window to 168 hours (7 days). If you will be away for more than 7 days, it is recommended that you have parcels sent to an off-campus address or use Australia Post’s “mail holding” service, which holds parcels free of charge for 30 days (Australia Post, 2024).
